AIMS This Week - May 15, 2025
How do we know we're business ready?
Partner organizations have representatives who are part of the AIMS Business Readiness team. This team uses structured scorecards to assess how prepared each partner is to go live, both from a technology and data perspective, and a process and people perspective.
The scorecards track key readiness indicators, including:
- participation in testing,
- accuracy of master rotations,
- validation of business structures,
- updated work standards and accessibility,
- awareness of cutover activities,
- manager delegation of roles,
- completion of training, and
- knowledge of available support resources.
When these metrics align, we know the organization is business ready. Currently, we are on track with readiness for release one participants (all out-of-scope employees in the SHA and affiliates, 3sHealth, SAHO, and SHRA).
Cutover and code freezes
Release one cutover activities are now underway, and code freezes have been implemented. These are critical steps that allow the project team to capture a snapshot of data from the legacy time validation and scheduling system to enable migration to the new system.
This process takes several weeks. Any changes made in the legacy system after the code freeze on May 5 will need to be re-added the new platform. For changes that have been made in the master rotation or business structures please create a MyConnection case in the SHA or send an email to your Payroll/Scheduling team at the 3sHealth, SHRA, and SAHO organizations.
What to expect at go live
Even with extensive testing and training, it takes time for everyone to understand how to use the new system and to ensure every single scenario works as anticipated. Certain tasks may take longer during the initial transition. Also, we expect a temporary increase in workload and support requests, as seen during previous system launches (Human Resources, finance and supply chain).
To manage this, dedicated resources are in place to provide employees support and answer questions. These resources can be found on the AIMS Info Page on the MyConnection Homepage. Please be patient as we work together to make the system and new processes a success.
