Health Information Management encompasses the following departments:
Health Information Services (Health Records)
- The Health Information Services (HIS) team is a group of certified health information management professionals (CHIM) and other professional Health Record Clerical staff who work in hospitals and other health care facilities (for example, Long Term Care, Public Health or Mental Health) throughout the SHA.
- We are committed to service excellence through the health information life cycle – professional, caring and confidential. We ensure the accurate, dependable and secure collection, maintenance and timely dissemination of patient health information. The HIS team ensures that the right health information is disseminated to the right people at the right time.
- We comply with The Health Information Protection Act (HIPA), other related provincial and federal legislation, and SHA Policy, Procedures and Work Standards. We follow best practices and guidelines in health information management.
Registration & Information Services
- The Registration & Information (Switchboard) Services team is a group of professional clerical staff. The team may also include Volunteer Services Staff in some locations. In these roles, we are often first to greet and register clients as they enter our facilities to access services. We are committed to excellent customer service.
- Registration clerks and office assistants collect and enter key patient demographic information into the Admission, Discharge and Transfer (ADT) system. Information from this system flows to many other downstream applications, and impacts the accuracy of the patient record, and thus safe patient care.
- The role of Information (Switchboard) Services is critical in bridging communication between services providers, patients and families throughout the system. In addition to managing a large number of calls daily, switchboard is responsible for facilitating and announcing Emergency Codes, calling and activating medical and other teams specific to the Emergency Codes; and directing clients and visitors. In some locations, Information Services Staff assist with client registration.
- Hospitality is vital to Volunteer Services as they greet, help to guide and sometimes assist those coming into our facilities to their correct destination. They will either provide general information or bridge clients to the right person who can answer their question.
