AIMS this week - January 9, 2025
Wave one stabilization progress update
Many systems and processes have been stabilized thanks to the efforts of many on the AIMS project team and operational resources. Some stabilization work remains, however, systems are stable enough for planning to proceed for the next milestone, implementation of the workforce management (WFM) system, which includes time entry and scheduling. Testing of the WFM system will begin in January and is the first step towards successful implementation.
Recent stabilization progress includes:
- Hiring is stable. Demand continues to be met to process new hires and internal transfer cases starting within two weeks. Hiring teams are consistently meeting targets for Applicant Ranking Reports. Focus remains on continued process improvements for new hires and transfers cases beyond two weeks.
- The number of advances issued to employees for any missing pay continues to be at or below pre-AIMS levels.
- Travel reimbursement and professional fee reimbursement errors from the last pay cycle have been addressed. Advances were provided and paid out to affected employees on the January 3 pay cycle.
- Year-end payroll testing activities are progressing well and are on track to meet timelines.
- All pay errors affecting employees before the last payroll cycle for 2024 have been fixed. Reports are running to confirm no errors are remaining. Teams are progressing to the reconciliation phase and will continue to process any corrections identified.
- Accounts payable is continuing to work through invoice backlog, including payables accumulated during the holiday season.
A cross-functional task team is working to address invoices greater than 30 days and the backlog in accounts payable. Deployment teams have been created to support hot spots in accounts payable.
MyWork update
On January 17, 2025, MyWork will be updated. The update is an enhancement designed to improve efficiency and user experience across the application.
What is the change?
The upgrade is the next generation of the software’s user experience, featuring:
- A modern interface: a refreshed look with clean visuals, updated icons and improved layouts for better navigation.
This enhancement is designed to enhance daily work experience, helping complete tasks more efficiently.
What’s Next?
- Communication and resources: We will provide further communication, in-system guided learning, and support to help you adapt to the updates in the system.
Watch for future communication as we continue to work towards this enhancement.
Delegation for vacation and leaves
When leaving or travelling for a specified period of time, it is imperative that managers and leaders delegate Human Resources and financial related responsibilities/authority to another employee to carry out on their behalf.
The following steps must be taken in the system to ensure all duties are delegated when going on Vacation/Leave:
- Setting a Vacation Rule in MyConnection Profile
- Assignment of Human Resources related responsibilities/authority i.e. mileage claims, position management.
- Refer to KB0011302 Setting Up a MyConnection Delegate Work Standard.
- Setting a Vacation Rule in MyWork
- Assignment of Financial related responsibilities/authority i.e. invoices, expense report
- Refer to KB0012199 Delegating Approvals and Setting a Vacation Rule Work Standard.
In-system guided learning update
In-System guided learning (IGL) supports employees using the MyWork functionality within MyConnection. Since September 1, guides have been run over 1.1 million times. There are over 960 unique guides built into the system to support you as you move through various processes and next steps on a daily basis.
When in MyWork, click on the flashing icon below for a learn-as-you-go experience. View this quick tutorial to find out more. Have feedback or need support? Use the feedback links in the IGL tool to let us know how we can help.
